What is Blue Ridge Gatherings?

Blue Ridge Gatherings creates whimsical, luxury picnics nestled in the natural beauty of Southwest Virginia, where every detail is thoughtfully designed for unforgettable moments. Serving two to two dozen people, Blue Ridge Gatherings offers bespoke picnic experiences with seasonal florals, curated decor, and the timeless charm of the Blue Ridge Mountains.

Where can I have a picnic?

We bring the picnic to you! Whether it’s a scenic overlook, a cozy backyard, a public park, or a private venue, we’ll help you choose the perfect spot — or set up at a location you already love.

You can experience your luxury picnic in Roanoke, Virginia. Located in Blacksburg, Christiansburg, Lynchburg, or surrounding areas? We want to come to you! There is a travel fee of $2 per mile from Downtown Roanoke.

What if it rains?

At Blue Ridge Gatherings, we understand that plans — and weather — can change. While all picnic packages are final sale and non-refundable, you’re welcome to use the full value of your booking as a credit toward a future date or transfer it to someone else.

Because weather can be unpredictable, we require a backup location at the time of booking in case outdoor setup isn't possible. We're happy to offer suggestions, but selecting and securing the alternate site is your responsibility.

If weather prevents your picnic from moving forward and no backup location is available, we’ll do our best to reschedule based on availability. Please note that refunds are not issued for weather-related changes. Thank you for your understanding — we're committed to making your gathering special, rain or shine.

Is food included?

Depends on your package! You can choose the basics package or make it all inclusive! Bring your own or let me do all of the work for you! Several add-ons are available from strawberry + chocolate fondue to charcuterie boxes to snacks + treat kits.

How does this work?

Once you book a picnic with Blue Ridge Gatherings, we will work with you to design your event, unless you leave it up to us by choosing a set design.

On the day of the event, we will arrive to the agreed upon location and set everything up 1 - 2.5 hours in advance.

Unless there are unforeseen circumstances, your event will start at the agreed upon time. If there is any delay, our team will contact you immediately.

We ask that you don’t arrive early to their event, so the experience is fully ready upon your arrival.

What is your policies?

Cancellation Policy

We understand that plans can change, so while all picnic packages are final sale and non-refundable, we want to make sure you still get to enjoy your special experience. If you need to cancel, the full value of your booking can be used as a credit toward a future picnic on a date that works better for you. You’re also welcome to transfer your reservation to someone else if you’re unable to attend.

Damage Policy

Each piece of your picnic—the glassware, the linens, the blooms and settings—belongs to Blue Ridge Gatherings and is curated with great care. We kindly ask that all items be returned just as beautifully as they arrived. Should anything be stained, broken, or lost, you may be responsible for the cost of cleaning or replacement. If professional services are needed, you’ll receive a written notice, with 14 business days to arrange payment before further steps are taken.

Late Policy

Time is part of the magic. Because you choose your picnic’s timeline, we ask that you arrive promptly so you don’t miss a moment. Your experience begins at the scheduled time, not upon arrival—so do your best to arrive on time!

Alcohol Policy

While we do not offer or encourage the serving of alcohol, we understand some gatherings may include it. If you wish to include alcohol at your event, a Release of Liability and Assumption of Risk Agreement must be signed when you book. Without it, we kindly ask that all events remain alcohol-free.

Photography & Media Release

By booking with Blue Ridge Gatherings, you grant us the joy of capturing moments— which may include you and your guests. These images may appear on our website, social media, or printed materials to inspire future celebrations. If you'd prefer to keep your gathering private, simply let us know in writing before your event.

Health & Safety Policy

We take every precaution to protect your gathering from nature’s less charming guests. Our equipment is treated with gentle insect repellent, and we provide additional repellent at every picnic. Blue Ridge Gatherings cannot be held responsible for bites, stings, or allergic reactions. For picnics held at private homes, it is the host’s responsibility to ensure the space is prepared for comfort and safety.

Payment Policy

To secure your special day, full payment is required at the time of booking. We accept Credit Cards, PayPal, Klarna, and Afterpay. Outstanding balances must be settled before your event begins. Payments are non-refundable, though we’re happy to explore alternative payment arrangements—such as checks, cash, or custom invoicing for corporate clients—if you reach out ahead of time.

Assumption of Risk
We’re honored to create a beautiful moment in nature just for you. While we prepare with care and attention, outdoor gatherings carry natural unpredictability—weather, insects, and the occasional surprise from the great outdoors. By joining us under the sky, you accept these inherent risks and agree to take responsibility for your experience.

Alcohol Consumption
We want your time with us to be joyful and worry-free. Please note that public alcohol consumption is prohibited in Virginia. If you choose to bring alcohol to your picnic, you do so at your own risk and are solely responsible for any legal consequences. Blue Ridge Gatherings cannot be held liable for any alcohol-related incidents.

Release of Liability
Though every effort is made to ensure your picnic is safe and serene, by booking with Blue Ridge Gatherings, you agree to release us—our owners, team, and partners—from liability for any injury, loss, or damage that may occur during your event, whether due to natural causes, unforeseen circumstances, or otherwise.

Indemnification
You agree to hold Blue Ridge Gatherings harmless against any claims, damages, or expenses (including legal fees) arising from your participation in the picnic—including, but not limited to, incidents involving alcohol.

Respect for Our Setup
Each piece of your picnic has been thoughtfully curated to bring beauty to your gathering. We kindly ask that all items be treated with care. If significant damage or loss occurs, you may be responsible for repair or replacement costs.
